Key Responsibilities:
 

• Accounts Payable & Receivable

  • Assist in managing accounts payable by processing invoices, verifying transaction details, and ensuring timely payments to vendors and suppliers.

  • Monitor accounts receivable, follow up on outstanding payments, and assist in the collection process to maintain positive cash flow

• Bookkeeping

  • Maintain accurate financial records by entering transactions into the accounting system

  • Reconcile bank statements, supplier invoices, and credit card statements regularly to ensure financial data integrity

  • Assist in managing the general ledger by recording journal entries and maintaining an organized filing system for financial documents

• Financial Reporting

  • Assist in the preparation of financial reports such as profit and loss statements, balance sheets, and cash flow statements

  • Support the finance team with month-end and year-end closing activities

  • Analyze variances in financial reports and assist in preparing detailed reports for management review.

• Budgeting & Forecasting

  • Assist in tracking and monitoring budgets and expenses for different departments

  • Help in preparing financial forecasts, identifying trends, and providing insights to support decision-making processes

  • Maintain records of eCommerce-related transactions, including advertising costs, payment gateway fees, shipping expenses, and product returns

• Tax and Compliance Support

  • Help prepare tax filings and assist with gathering the necessary documentation for audits or regulatory compliance

  • Ensure that financial transactions comply with legal regulations and internal policies

• E-Commerce Transaction Management

  • Track and manage payment gateways, including PayPal, Stripe, and other payment systems, ensuring accurate recording of online transactions

  • Assist in managing refunds, chargebacks, and payment disputes, working closely with the customer service and operations teams

• Administrative Support

  • Maintain accurate records of vendor agreements, contracts, and financial transactions

  • Provide administrative support to the finance team, including scheduling meetings, preparing documents, and maintaining databases

  • Assist in financial audits by organizing and providing relevant financial data as requested by auditors
     

Qualifications

• Proven experience as a Finance Assistant, Accounts Assistant, or similar role

• Solid understanding of basic accounting principles and financial reporting

• Familiarity with accounting software (e.g., QuickBooks, Xero, or similar) and Microsoft Excel

• Experience working in eCommerce or retail is a plus

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment

• Degree or coursework in Finance, Accounting, Business Administration, or a related field
